Team

The Team list is where you keep every person who works in your company — full-time staff, part-time staff, contractors, and anyone else who needs to sign in to Acqui or be recorded on a timesheet, invoice, or POS sale. Open it from Team Management → Team.

The grid shows each team member as a row with:

Use the search box to find a team member by name or email. Filter by status to see only people who still need to accept their invite, for example, or to review anyone who has been deactivated.

StatusMeaning
InvitedAn invite has been sent but not yet accepted. The person cannot sign in yet.
ActiveThe account has been activated and the person can sign in. Their time, expenses, and sales attribute to them.
InactiveThe account has been deactivated. The person can no longer sign in, but all their historical records stay intact for reporting.
  1. Select the + (Add) button at the top of the grid.
  2. Fill in First Name, Last Name, and Email. Email is how they sign in, so it must be unique.
  3. Set Phone, Hourly Rate, and Charge-Out Rate — including the currency for each rate. Rates can be updated later.
  4. Optionally add Social Profile links (LinkedIn, Facebook, Instagram, X, YouTube, TikTok, Pinterest).
  5. Optionally upload a profile image (.jpg or .png).
  6. Save Profile.

The new team member receives an email invite and appears in the grid with status Invited. Once they accept the invite and set a password, the status flips to Active.

  • Hourly Rate is what the time costs you. When a timesheet is approved the cost amount is calculated from this rate and feeds into the linked job’s actual cost.
  • Charge-Out Rate is what you bill the client. When you invoice time on a Job, this is the rate that goes on the invoice line by default.

Rates are snapshotted onto a timesheet when it is submitted, so changing someone’s rate later only affects new timesheets — existing approved or invoiced entries keep the rate that was current at the time.

Selecting a row opens the Team Profile drawer — a single view that combines the person’s editable details on top with tabs beneath for everything they’ve touched in Acqui. Tabs are only visible if you have permission to see the underlying program:

Each tab is its own mini-list with search, filter, and date-range controls so you can dig into a single person’s activity without going back to the main program. Selecting a row in any tab opens the full record drawer.

Open the profile, update the fields you need — rates, contact details, image, social profiles — and Save Profile. Changes take effect immediately.

When someone leaves, set their status to Inactive. They lose sign-in access but all their historical records (timesheets, expenses, POS sales, journal entries) stay intact for reporting. You can reactivate later if they return.

Permissions — which programs and actions each person can access — are managed separately on the Permissions page. Adding a team member creates the profile; granting access to programs is a second step.
